Responsibilities

 

  • Responsible for managing and planning details of all U.S. interviews. This includes:
  • Receives details of the interview from the recruiter such as information about internal/external candidates and the interview team.
  • Contacts the candidate within 24 hours of interview request to obtain candidate availability.
  • Coordinates with interview team and candidate for interview date and time.
  • As needed, works with external recruiting firms; and plans and coordinates for offsite and non- business hour interviews.
  • Prepares and disseminates interview related materials to the interview team members and candidates.
  • Confirms interview and schedules conference rooms.
  • Makes any last minutes updates and changes to the interview schedule.
  • Makes travel arrangements (air, hotel, car, etc.) and files travel reimbursements if necessary.
  • Coordinates with interview team members for phone screens and technical presentations.
  • Maintains details and logistics of interviews in Excel spreadsheets.
  • Responsible for managing candidate/ interview information in the applicant tracking system

 

The Coordinator is specifically responsible for:

  • Inputs interview schedule and status, referral source, EEO, links candidate to requisition numbers, etc.
  • Creating new profile for each candidate in the system.
  • Obtaining candidate interview forms from recruiter.
  • Offer Letter Approval (OLA) in ATS.
  • Collecting any candidate documents from recruiter.
  • Changes offer status from extend to accept and enters planned start date.
  • Validates that candidate information is correct in ATS.
  • Compiles new hire documents.
  • Initiates background request (a signed offer letter & signed background authorization are required prior to submitting).
  • Prints Offer Letter Approval (OLA) for new hire packet. Audits signed offer letter from recruiter.
  • Provides information requested by background vendor.
  • Notify recruiter when background results received.
  • Responsible for processing a job bid transfer.
  • Audits the OLA for SOX required authorizers.
  • Initiates relocation and immigration requests with Global Mobility, as indicated on OLA.  
  • Maintains a thorough filing system.
  • Creates comprehensive requisition files.  Each requisition file contains a file for each candidate comprising coordinator checklists, job bid forms, resume, interview schedule, application. background check forms, travel information, etc.
  • Performs periodic audits to ensure files are complete.
  • Indicates hired candidate in requisition file.  Creates copy of offer letter, application, background release, for applicant file.
  • Files EE-forms in appropriate fiscal year file.
  • Once a requisition has been closed, audit requisition/applicant file and removes travel documents, interview schedules, etc. from file.  Files requisition folder in the fiscal year applicant files.
  • If a requisition is cancelled, file the requisition/applicant file in the cancelled requisition file in the fiscal year applicant files.
  • Bachelor's degree preferred.
  • Prior recruiting experience and HR experience strongly preferred.
  • Proven organizational skills with attention to detail and the ability to prioritize work effectively in an environment with competing demands.
  • Works with a high sense of urgency.
  • Works well with ambiguity.
  • Ability to remain flexible within a highly dynamic changing environment and still deliver on deadlines.
  • Team player willing to assist wherever there is a need.
  • Exercise considerable judgment and discretion in handling telephone calls and emails, routing them to others or dealing with them on own initiative when appropriate.
  • Previous experience managing the varied needs of multiple recruiters.
  • Must have exceptional customer service skills, including demonstrated success interacting with both internal and external customers.
  • Highly proficient with Microsoft Office and Windows-based applications, especially Word, Excel and Outlook with at least 2 years of experience.
  • Previous experience with scheduling complex interviews through MS Outlook.
  • Familiarity with recruiting applicant tracking systems a plus.
  • Ideal candidate will be highly motivated, self directed and a quick learner with the ability to master new systems quickly.
  • Excellent verbal and written communication skills.
  • Proven organizational skills with attention to detail and the ability to prioritize work effectively in an environment with competing demands.
